The invoice arrived. Did the right store receive the work?

Help central teams resolve cross-store questions with the evidence behind each charge.

Where can an outside supplier leave a gap in the group’s view?

A supplier can bill the purchasing location even when a different store receives the work. That may be correct under an intercompany policy, or it may need attention. Without the completion evidence and allocation rule together, an accounts-payable team must reconstruct the story before it can make a decision.

DealerBuilt’s Lightyear is designed for enterprise and centralized accounting. It already offers a shared database, business intelligence and reporting. The proposed HiveSilo contribution is an evidence brief across Lightyear and an outside supplier or AP workflow, where that boundary still leaves a material question unresolved.

Less reconstruction. Better judgement.

Show the controller what disagrees and why, before suggesting any accounting change.

Connect work to its charge.

Relate an approved invoice reference to the receiving store and external completion record. Keep mixed invoices or incomplete work evidence visible as unresolved. [P010-S01] [P010-S02]

Useful output: A charge-to-work comparison with the source of each fact.

Give policy a place in the review.

Use the controller’s approved rules to distinguish an expected intercompany allocation from a discrepancy worth investigating. [P010-S01]

Useful output: An explained review priority, with the applicable policy and owner.

Learn from repeated corrections.

Measure recurring allocation questions and the time required to resolve them, alongside Lightyear’s native reports. [P010-S01] [P010-S02]

Useful output: A supplier-process brief for the central AP lead.

One supplier invoice. Two possible store owners.

Example: a shared reconditioning supplier bills Store A. A permitted completion record refers to a vehicle received at Store B, but the group sometimes centralizes those costs.

Start with Lightyear DMS

Lightyear provides centralized accounting, enterprise records and native BI. The supplier’s independent completion record adds the outside evidence.

Bring the relevant context together

  • Approved invoice reference, supplier category and charged location.
  • Customer-controlled vehicle/work reference and receiving location.
  • Supplier completion status and the applicable group allocation policy.

Make the decision

Ask the controller to review only when the evidence conflicts with the agreed policy. Do not automatically move a charge because two store names differ.

A useful output

An allocation brief stating the conflict, plausible explanation and evidence needed to close it.

Keep responsibility clear

Group controller and central accounts-payable lead.

Hold and ask

Pause when an invoice spans multiple vehicles, a credit already resolves it or the paying entity is intentionally different. The controller decides the accounting treatment.

Record the outcome

Keep the invoice reference, policy version, source times, reviewer and disposition. Sensitive attachments and bank information stay outside the HiveSilo brief. [P010-S01] [P010-S02]

Read the governance and escalation requirements

Make accountable authorization a condition of putting AI to work. HiveSilo describes an operating layer that combines buyer intelligence, customer-data privacy and governance. Your deployment should establish the responsible owner and permitted scope before an agent can change records, contact buyers or trigger campaigns.

HiveSilo documents policy checks before execution, default denial when authorization is unclear, human checkpoints, scoped stop controls and decision receipts. These controls apply to actions routed through its policy boundary. Keep decisions, required approvals and held actions traceable as the workflow progresses, then record the action, outcome and accountable owner. [HS6][HS7]

Who
Identify the acting agent or person and name the business owner accountable for this workflow.
What
Define the action and permitted data categories before execution.
Where
Specify the approved system, destination and customer custody boundary.
How
Require an approved execution path, access scope and applicable policy checks.
When
Set the permitted conditions and approval validity; recheck authority before a held action resumes.
Why
Record the business purpose and the basis for allowing, denying or holding the action.

An edge case should stop the affected action.

For the deployment, require unresolved authority, an unapproved destination or an out-of-policy action to remain on hold. A timeout or unanswered approval request must not become permission to proceed.

Who gets the question?

Agree a named owner and authorized delegate for each workflow. A proposed responsibility model is: sales for buyer outreach and lead handling; marketing for campaign spend and audiences; security or privacy for data-access exceptions; the platform owner for connector or runtime changes. Test the escalation route. If no authorized reviewer is available, keep the action held.

HiveSilo can recommend investigating a supplier charge. A named controller reviews the evidence and uses the authoritative accounting process; the existence of a write API does not authorize posting journals.

Named-owner routing is configured and demonstrated for each deployment. Governance covers actions routed through its configured boundary; external systems remain responsible for actions outside that scope.

Control through the full relationship

Review permitted use, export, retention, deletion and offboarding terms. Customer-controlled keys are one control; they do not establish every contractual exit right. [HS3][HS4]

Invoice references and approved operational signals can support the review without passing customer files or bank details to HiveSilo. Identity and document matching stay within the agreed customer-controlled environment. Lightyear data and supplier records each retain their own contractual access and retention rules.

Customer identity custody is separate from HiveSilo account, billing and support records. Re-identifiable pseudonymous data is not anonymous.

Lightyear DMS connection & briefing scope

Choose real-time or scheduled evidence to suit the work.

DealerBuilt’s Certified API page describes real-time reads and writes across sales, service, customer and accounting domains, with scheduled batch exports as an alternative. The implemented fields and operations are established through the customer’s configuration and the applicable partner process.

A supplier allocation review can begin with approved read-only signals and a human brief. Confirm period handling, corrected records, entity permissions and export frequency. Lightyear access does not itself authorize the external supplier source or a ledger write.

A useful fit when

For enterprise dealer groups whose central teams handle material work across stores, suppliers and legal entities.

  • External work evidence is needed to explain a charge.
  • A group controller owns consistent allocation policy.
  • The cost of recurring reconciliation is meaningful at your operating scale.

Consider the fit

  • Lightyear’s existing exception reports may already answer an internal accounting question.
  • If supplier evidence is too incomplete to change a decision, improve that source before adding automated review.

In your enquiry, name Lightyear DMS and the business decision. Please leave out client records, credentials and sensitive samples.

Eight questions before your briefing
  1. 1.Does Lightyear already provide enterprise reporting?

Yes. DealerBuilt positions Lightyear for multi-store operations, centralized accounting and business intelligence, with a shared database and reporting capabilities. The first evaluation should use those native views. A proposed HiveSilo workflow earns its place only when permitted evidence from a supplier or separate AP process resolves a meaningful question that remains outside the existing view. [P010-S01]

  2. 2.What is the most useful initial question for the controller?

Start with a recurring question such as whether supplier work was charged to the correct location under the group’s policy. Define the evidence that settles it, the allowed exceptions and the person who can decide. This gives the review a clear business purpose before expanding access or collecting additional financial and customer information.

  3. 3.What does the public Lightyear API description establish?

It establishes real-time read and write capabilities in named sales, service, customer and accounting domains, plus scheduled batch exports. It does not settle every field, table or permitted action for your deployment. Work through the appropriate DealerBuilt partner and customer process to verify the minimal interface required, including historical coverage, corrections and per-entity authorization. [P010-S02] [P010-S03]

  4. 4.Will a mismatch move money between stores automatically?

No accounting transfer is part of this proposed first workflow. A difference between the billed and receiving store may be intentional. HiveSilo would assemble the evidence and request the controller’s review. Authoritative corrections remain in the approved accounting process, with separate permission and controls required for any later automation that changes a financial record.

  5. 5.How do shared invoices and credits affect the decision?

An invoice covering several vehicles or stores needs an agreed allocation basis. A later credit may already resolve the apparent problem. Include those relationships and the accounting period in the customer-side review; if they cannot be established, mark the case for clarification rather than treating the full invoice as an error or claimed saving.

  6. 6.Can a scheduled export be sufficient?

Often the business question determines the required cadence. A periodic AP review may not need a continuously updated connection, while a same-day operational decision could need fresher evidence. DealerBuilt explicitly describes scheduled exports as an option. Agree how late the source may be and stop the recommendation when its age makes the conclusion unreliable. [P010-S02]

  7. 7.How does this relate to Vistadash or other DealerBuilt products?

DealerBuilt’s portfolio includes separate offerings such as Vistadash marketing analytics. An existing relationship or Lightyear license should not be treated as permission to every portfolio product’s data. Document which systems the group actually uses, review their native capabilities, then select the remaining external decision rather than recreate an analysis already available to the team. [P010-S04]

  8. 8.What should an enterprise group measure first?

Measure validated discrepancies, time to resolve them and the share explained by an existing policy or delayed source. Compare the new review with your current AP process. A useful outcome may be clearer supplier instructions or fewer manual investigations; do not count every flagged charge as recovered revenue or a confirmed accounting error.
