The build data says yes. Does the vehicle?

DealerSync already uses AI for inventory. HiveSilo can help route conflicts between that data and the dealership’s physical evidence.

Why can an accurately decoded vehicle still need a review?

Original equipment, aftermarket changes and the vehicle in front of the technician are different forms of evidence. A missing or changed feature should be resolved before it becomes a customer expectation. The issue is the specific disagreement, not a blanket judgment about the quality of a decoder.

DealerSync’s SmartVIN+ selects OEM options and packages using machine learning. Its native tools include custom features, price scheduling, market analysis and recurring inventory feeds. HiveSilo’s proposed contribution is an evidence-led exception queue using your inspected findings alongside the approved listing data.

A listed feature that the inspection cannot confirm.

For example, a used vehicle’s published equipment includes an option that the dealership’s inspection record marks as absent or changed.

Start with DealerSync

SmartVIN+ uses OEM-derived option and package data; DealerSync also supports custom vehicle features and recurring listing feeds.

Bring the relevant context together

  • Approved stock specifications and their source time.
  • Customer-owned inspection findings for the disputed feature.
  • Relevant licensed equipment documentation and the published value.

Make the decision

Hold the disputed claim until the inventory quality manager has a verified answer; do not infer the feature from a photo or confidence score.

Keep responsibility clear

Record the outcome

Read the governance and escalation requirements

Make accountable authorization a condition of putting AI to work. HiveSilo describes an operating layer that combines buyer intelligence, customer-data privacy and governance. Your deployment should establish the responsible owner and permitted scope before an agent can change records, contact buyers or trigger campaigns.

HiveSilo documents policy checks before execution, default denial when authorization is unclear, human checkpoints, scoped stop controls and decision receipts. These controls apply to actions routed through its policy boundary. Keep decisions, required approvals and held actions traceable as the workflow progresses, then record the action, outcome and accountable owner. [HS6][HS7]

Who
Identify the acting agent or person and name the business owner accountable for this workflow.
What
Define the action and permitted data categories before execution.
Where
Specify the approved system, destination and customer custody boundary.
How
Require an approved execution path, access scope and applicable policy checks.
When
Set the permitted conditions and approval validity; recheck authority before a held action resumes.
Why
Record the business purpose and the basis for allowing, denying or holding the action.

An edge case should stop the affected action.

For the deployment, require unresolved authority, an unapproved destination or an out-of-policy action to remain on hold. A timeout or unanswered approval request must not become permission to proceed.

Who gets the question?

Agree a named owner and authorized delegate for each workflow. A proposed responsibility model is: sales for buyer outreach and lead handling; marketing for campaign spend and audiences; security or privacy for data-access exceptions; the platform owner for connector or runtime changes. Test the escalation route. If no authorized reviewer is available, keep the action held.

The inspection lead resolves physical evidence; the inventory quality manager approves the final claim before the website owner publishes the corrected source value.

Named-owner routing is configured and demonstrated for each deployment. Governance covers actions routed through its configured boundary; external systems remain responsible for actions outside that scope.

How your data stays under your control

HiveSilo's published architecture keeps customer identities and re-identifiable data inside the customer's enclave. HiveSilo receives permitted non-PII signals and scores. Validate that boundary for the exact workflow before connecting a new source. [HS4]

Control through the full relationship

Review permitted use, export, retention, deletion and offboarding terms. Customer-controlled keys are one control; they do not establish every contractual exit right. [HS3][HS4]

Keep inspection evidence, licensed source documents and any customer-linked records in the dealer’s approved environment. A review can use permitted non-PII field discrepancies and stock references. HiveSilo does not need a shopper list or financial profile to help resolve an equipment claim.

Customer identity custody is separate from HiveSilo account, billing and support records. Re-identifiable pseudonymous data is not anonymous.

DealerSync connection & briefing scope

Scope the inventory connection around the disputed fields.

DealerSync documents DMS integrations, recurring listing feeds and price updates through API partnerships. Confirm the approved output for the specific dealer and necessary specification fields; those relationships do not establish an open general API or customer-history export.

Use the technical support route to agree access. DealerSync’s public partner invitation is a referral program, not a developer credential. Keep the initial review focused on stock evidence and authorize any recipient separately.

[P049-S03] [P049-S04]

A useful fit when

Best considered by larger or high-intensity inventory teams handling enough unusual equipment cases to justify a structured review.

  • High-variation used vehicles with inspected evidence.
  • Several data sources feeding customer-facing specifications.
  • A named owner able to verify and approve disputed features.

Consider the fit

  • Confirm enterprise scale and recurring cost rather than assuming all independent dealers need another layer.
  • The proposal depends on usable inspection evidence and a permitted inventory output.

In your enquiry, name DealerSync and the business decision. Please leave out client records, credentials and sensitive samples.

Eight questions before your briefing
  1. 1.What would HiveSilo add to SmartVIN+?

A proposed review of cases where separately inspected evidence conflicts with the listing information. SmartVIN+ already uses machine learning for OEM option and package selection. HiveSilo should not be presented as another generic decoder; its additional role is to help a responsible person settle the specific disagreement before publication. [P049-S02] [P049-S03]

  2. 2.Does a discrepancy mean the decoder is wrong?

Not necessarily. The listing may reflect original equipment while the physical vehicle has changed, or the inspection may be incomplete. Establish the source and scope of each claim before choosing a value. The review should describe what is uncertain and ask the qualified owner to verify it, rather than assign blame automatically.

  3. 3.Can the system fill a missing option from photographs?

The proposed workflow should not invent a material feature from visual similarity. It can identify a question for inspection and organize the available evidence. An authorized person verifies the equipment, records the accepted value and updates the owning source through the dealership’s established DealerSync or inventory process.

  4. 4.Are all vehicle makes and years covered equally?

DealerSync’s feature page describes SmartVIN+ coverage for specified makes and selected years. Check the actual vehicle against the current service scope. When coverage is unclear, treat it as a reason to seek better evidence, not as permission to extrapolate an option or package from a similar vehicle. [P049-S03]

  5. 5.How would the inventory data connect?

Begin with the dealer’s permitted inventory output or a vendor-assisted arrangement. DealerSync documents DMS connections and recurring feeds, but the fields, recipient and timing must be confirmed for the account. Its public referral program is not technical onboarding and should not be mistaken for API authorization. [P049-S03] [P049-S04]

  6. 6.Would customer or credit data be needed?

No customer identity is necessary to decide whether an equipment claim is accurate. Keep sensitive inspection attachments and licensed documents in the dealer’s environment, sharing only the permitted non-PII finding needed for review. If later measurement involves inquiries, retain the customer mapping locally and use authorized summaries.

  7. 7.Who owns the decision when two sources conflict?

The inventory quality manager should appoint the person able to verify the vehicle, often the reconditioning or appraisal lead. The website administrator then publishes the approved source value. Record who accepted the evidence and check the listing after the relevant feed cycle so the earlier value does not silently return.

  8. 8.How can we assess whether this is worthwhile?

Start with a recurring category of material specification disputes and measure review time, repeat corrections and unresolved cases. A low-volume operation may manage these comfortably today. An enterprise or intensive inventory team should be able to demonstrate a meaningful coordination cost before expanding the proposed layer across more stock.
