PBS v10 APEX connection: proposed

View scope

PBS v10 APEX. Keep every manufacturer handoff accountable.

A manufacturer enquiry can move through several teams before its outcome is clear. Explore HiveSilo to compare approved PBS Workplan activity with the reporting trail and show your team what needs attention.

Received is not the same as resolved.

Understand where a manufacturer enquiry stands, without mistaking a system acknowledgement for a sale.

Why do the manufacturer and the showroom sometimes tell different stories?

A store may update an enquiry after a visit while the manufacturer channel still holds an earlier disposition. Another record may be waiting for an acknowledgement, or the customer may have asked to pause. Those situations need different responses, even if all appear as unfinished leads in a group-level count.

PBS v10 APEX brings together dealership functions, and its CRM already supports automated communication, internal lead generation and service-due calculations. The proposed HiveSilo review focuses on discrepancies between an approved operational outcome and the manufacturer reporting trail, rather than adding another campaign generator.

Make the handoff legible.

Give the CRM operations team a reason to investigate, not another unexplained lead total.

Follow the reporting trail.

Relate a permitted enquiry reference to Workplan activity and an available manufacturer response. Treat missing acknowledgement as missing evidence, not a failed customer interaction. [P005-S03] [P005-S05]

Useful output: A discrepancy list with dates and clearly separated statuses.

Make store comparisons fair.

Define received, assigned, contacted and resolved consistently across the participating locations. Exclude outcomes the approved sources cannot observe. [P005-S02] [P005-S05]

Useful output: A completeness view with its denominator and limitations visible.

Guide a controlled correction.

Propose the smallest internal step needed to reconcile the record. The responsible team uses the existing PBS and OEM process to correct the authoritative status. [P005-S03]

Useful output: An owned correction brief with the relevant source references.

The visit happened. The manufacturer status has not caught up.

Example: a group sees a manufacturer enquiry as still pending, although the store’s Workplan activity records a completed visit and a customer-requested pause.

Start with PBS v10 APEX

PBS Workplan supplies the dealership’s lead activity; supported OEM interfaces determine what can be exchanged with the manufacturer.

Bring the relevant context together

  • Permitted enquiry reference, source and receipt time.
  • Approved Workplan disposition and activity dates.
  • OEM acknowledgement or reporting exception, where that interface supplies one.

Make the decision

Ask the CRM manager to reconcile a genuine status mismatch. Preserve the customer’s pause instead of generating another follow-up message.

A useful output

A short comparison of the two statuses, the observed delay and the owner who can correct it.

Keep responsibility clear

Dealer-group CRM operations manager and the relevant OEM programme owner.

Hold and ask

Hold when the acknowledgement is unavailable, store ownership changed or status definitions are unmapped. The OEM programme owner resolves the reporting meaning.

Record the outcome

Record source references, status mapping version, observation times, correction approval and final acknowledgement, without retaining the customer’s personal details. [P005-S02] [P005-S03] [P005-S05]

Read the governance and escalation requirements

Make accountable authorization a condition of putting AI to work. HiveSilo describes an operating layer that combines buyer intelligence, customer-data privacy and governance. Your deployment should establish the responsible owner and permitted scope before an agent can change records, contact buyers or trigger campaigns.

HiveSilo documents policy checks before execution, default denial when authorization is unclear, human checkpoints, scoped stop controls and decision receipts. These controls apply to actions routed through its policy boundary. Keep decisions, required approvals and held actions traceable as the workflow progresses, then record the action, outcome and accountable owner. [HS6][HS7]

Who
Identify the acting agent or person and name the business owner accountable for this workflow.
What
Define the action and permitted data categories before execution.
Where
Specify the approved system, destination and customer custody boundary.
How
Require an approved execution path, access scope and applicable policy checks.
When
Set the permitted conditions and approval validity; recheck authority before a held action resumes.
Why
Record the business purpose and the basis for allowing, denying or holding the action.

An edge case should stop the affected action.

For the deployment, require unresolved authority, an unapproved destination or an out-of-policy action to remain on hold. A timeout or unanswered approval request must not become permission to proceed.

Who gets the question?

Agree a named owner and authorized delegate for each workflow. A proposed responsibility model is: sales for buyer outreach and lead handling; marketing for campaign spend and audiences; security or privacy for data-access exceptions; the platform owner for connector or runtime changes. Test the escalation route. If no authorized reviewer is available, keep the action held.

The CRM operations manager reviews a proposed disposition correction. If the customer has declined further contact, the workflow can resolve the reporting issue while preserving that instruction.

Named-owner routing is configured and demonstrated for each deployment. Governance covers actions routed through its configured boundary; external systems remain responsible for actions outside that scope.

The architecture describes confidential computing and trusted execution environments. Request deployment-specific attestation and data-flow evidence for your CISO's review. [HS3]

Scoped destinations and actions

Agree which systems receive outputs and what actions are authorized. Keep identity handling within the documented customer boundary. [HS2][HS4]

Control through the full relationship

Review permitted use, export, retention, deletion and offboarding terms. Customer-controlled keys are one control; they do not establish every contractual exit right. [HS3][HS4]

Names, contact information and identity matching remain in the approved dealer-controlled environment. HiveSilo uses permitted non-PII status signals and scores. PBS and manufacturer-held records retain their separate contractual boundaries; one interface does not grant unrestricted reuse across channels.

Customer identity custody is separate from HiveSilo account, billing and support records. Re-identifiable pseudonymous data is not anonymous.

PBS v10 APEX connection & briefing scope

Work from your actual PBS and OEM configuration.

PBS’s partner programme uses an initial questionnaire and its integrations team to establish a suitable API or two-way interface. The required fields, historical coverage and exchange frequency are agreed for the shared customer.

PBS describes a specific BRP lead integration that exchanges manufacturer and dealer activity for Workplan customers. That is a concrete example, not a promise of identical support for every OEM. Confirm the manufacturer interface and acknowledgement before selecting the workflow.

[P005-S03] [P005-S05]

A useful fit when

A useful conversation for dealer groups managing substantial manufacturer lead volume and more than one reporting process.

  • Manufacturer and store outcomes are recorded in different places.
  • A group team is responsible for reporting quality and follow-through.
  • The volume and value of enquiries justify reconciling recurring discrepancies.

Consider the fit

  • If the native PBS view already exposes the complete handoff, start by using that process.
  • A low-volume channel with little reporting ambiguity may not warrant a separate intelligence workflow.

In your enquiry, name PBS v10 APEX and the business decision. Please leave out client records, credentials and sensitive samples.

Eight questions before your briefing
  1. 1.What does PBS already do for customer follow-up?

PBS’s CRM describes automated communications, department- and event-specific templates, internally generated sales tasks and calculations that identify vehicles due for service. Those are valuable native functions. The proposed HiveSilo use is narrower: explain an inconsistency between the dealership’s recorded outcome and the manufacturer reporting trail, then identify the team that can resolve it. [P005-S02]

  2. 2.Does the BRP example mean every manufacturer is supported?

No. The published BRP workflow establishes a specific example of manufacturer leads and returned dealer activity for v10 Workplan customers. Another brand may use different statuses, permissions and acknowledgement behavior. Your OEM programme owner should confirm the installed interface and the meaning of each exchanged status before any group comparison or automated correction is designed. [P005-S05]

  3. 3.How could an approved connection be established?

PBS asks potential partners to complete a preliminary questionnaire and work with its integrations team. Its public programme describes API access or a two-way data interface according to the shared customer’s needs. A briefing can define the minimal signals required, but the implemented scope comes from the actual PBS arrangement and dealer authorization, including any OEM restrictions. [P005-S03]

  4. 4.Can a successful transmission be counted as a conversion?

A transmission acknowledgement proves something about the data exchange, not necessarily the customer’s decision. Keep interface acceptance, a completed appointment and a sale as different events. The proposed review shows which event each source actually supports and leaves an outcome unknown where the available evidence does not establish it. That makes channel comparisons more useful to management.

  5. 5.What if one store uses statuses differently from another?

Agree a common business meaning while preserving each source’s original label. For example, an assigned task and an attempted contact should not become the same group-level event simply because both use a broad open status. Unmapped or conflicting labels stay in a review queue until the CRM operations manager and OEM owner agree how to interpret them.

  6. 6.Will HiveSilo send another message to a paused customer?

The proposed action starts with an internal reporting review. Customer contact is a separate decision governed by current permissions, assigned ownership and the customer’s instructions. A record can be corrected without contacting the person. A pause, opt-out or uncertain owner should stop an outreach proposal while the operations team resolves the underlying reporting question.

  7. 7.Which customer details are needed for the review?

The decision generally needs a permitted reference, channel, status and timestamp rather than the customer’s name or full conversation. Identity reconciliation belongs inside the dealer’s approved environment. Keep raw messages, personal contact details and unrelated financial information out of HiveSilo’s decision record, and confirm any manufacturer restrictions on reusing even derived channel data.

  8. 8.How would we know the extra review is worthwhile?

Choose one OEM channel and a few clearly defined handoffs. Measure the number of genuine discrepancies, time spent resolving them and whether corrected records stay consistent afterward. Compare those results with the native PBS reports and existing staff process. Expand only when the review changes decisions enough to justify its ongoing operation and ownership.
