Who should answer the next Bókun group enquiry?
An expedition group asks about a departure through two channels. An agent holds an option, while a sales adviser prepares a direct offer. HiveSilo helps the outfitter decide who may respond and which terms the operator can honor.
Start with a conversation. No client records needed.

A direct enquiry can arrive while an agent holds the space.
The booking channel and the group agreement can point to different next steps.
What did the outfitter promise its agent before the direct request arrived?
International Friends describes managing prices, availability and distribution through Bókun. The operator and its sister group-travel business report serving more than 300,000 travelers together in 2024. Midgard Adventure separately identifies Bókun as its booking platform for agents selling its Icelandic day and multi-day tours. The examples establish product use; guest counts are not assigned to Bókun or to a particular expedition.
A current booking can confirm what one channel reserved. The release time for a group allocation, partner commission and right to approach the group may sit in the outfitter’s own agreement. Deciding which sales team should respond calls for both the channel status and that private commercial context.
Bókun already manages availability, distribution and bookings for experience operators. [BK1] [BK2] [BK3] [BK6]
Protect the agent relationship and the departure margin.
Resolve a competing enquiry before two sellers promise the same space or compete for the same group.
Talk through your use case- Is the option still active?
- Check the latest permitted booking status, departure and operator-confirmed release time.
- Which seller owns the follow-up?
- Review the group agreement, agent protection and current direct enquiry.
- What is the trip worth after costs?
- Compare realized operator receipts with commissions, concessions, cancellations and group servicing effort.
See the intelligence behind the next move
Identify a conflicting request.
Where the operator grants read access, compare the Bókun booking channel and current status with the outfitter’s own group option. Flag an agent-protected group before a direct adviser issues another offer. [BK1] [BK2]
Useful output: A dated review assigned to the group sales lead.
Resume a permitted group enquiry.
Revenue Seeker can surface the outfitter’s own dormant request after the allocation is released. Check that a partner still has no exclusive rights and that the group organizer has permitted follow-up.
Useful output: A clear reason to resume, return the enquiry to the agent, or hold.
Measure completed departures.
Compare eligible group business with similar departures handled through ordinary follow-up. Deduct commission, refund exposure, supplier costs and selling effort before attributing contribution. A provisional reservation is not a completed sale.
Useful output: A net contribution comparison for the operator.
An agency option and a direct request for six places.
Illustrative example. A group leader contacts the outfitter directly about six places. The same party may already hold an agency option expiring the next day.
Start with Bókun
Bókun handles booking, distribution and availability. The operator’s written reseller agreement determines who may approach the group and under what conditions.
Bring the relevant context together
- Latest allowed booking state for the relevant operator and channel.
- Operator-controlled agency agreement and provisional expiry.
- Direct enquiry, consent status and proposed contribution after commission.
Make the decision
Should group sales refer the organizer back to the agent, wait for release, or prepare a direct offer?
A useful output
The sales lead receives the two dated records, the unresolved agreement clause and the operator responsible for confirming it. Only the operator approves a new quote or an inventory change.
Keep responsibility clear
Group sales manager with authority delegated by the outfitter.
Hold and ask
Pause if the party match is ambiguous, the option changed, or agent contact rights remain unclear. Operational safety, suitability and guide capacity remain with the outfitter.
Record the outcome
Track the actual booking path, completed departure, commissions, refunds and realized contribution. Resolve duplicate attribution before giving either channel credit. [BK1] [BK2] [BK3]
Require control before AI acts.
The outfitter makes the sales decision and retains all authority over price, capacity, waivers and expedition safety.
Prepare an internal review for the group sales manager. Confirm a current option before notifying an agent, transferring a booking or releasing places.

Read the governance and escalation requirements
Make accountable authorization a condition of putting AI to work. HiveSilo describes an operating layer that combines buyer intelligence, customer-data privacy and governance. Your deployment should establish the responsible owner and permitted scope before an agent can change records, contact buyers or trigger campaigns.
HiveSilo documents policy checks before execution, default denial when authorization is unclear, human checkpoints, scoped stop controls and decision receipts. These controls apply to actions routed through its policy boundary. Keep decisions, required approvals and held actions traceable as the workflow progresses, then record the action, outcome and accountable owner. [HS6][HS7]
- Who
- Identify the acting agent or person and name the business owner accountable for this workflow.
- What
- Define the action and permitted data categories before execution.
- Where
- Specify the approved system, destination and customer custody boundary.
- How
- Require an approved execution path, access scope and applicable policy checks.
- When
- Set the permitted conditions and approval validity; recheck authority before a held action resumes.
- Why
- Record the business purpose and the basis for allowing, denying or holding the action.
An edge case should stop the affected action.
For the deployment, require unresolved authority, an unapproved destination or an out-of-policy action to remain on hold. A timeout or unanswered approval request must not become permission to proceed.
Who gets the question?
Agree a named owner and authorized delegate for each workflow. A proposed responsibility model is: sales for buyer outreach and lead handling; marketing for campaign spend and audiences; security or privacy for data-access exceptions; the platform owner for connector or runtime changes. Test the escalation route. If no authorized reviewer is available, keep the action held.
Named-owner routing is configured and demonstrated for each deployment. Governance covers actions routed through its configured boundary; external systems remain responsible for actions outside that scope.
Make responsibility part of the AI rollout.
Use the AI implementation layer to put policy checks, approval checkpoints and decision records around the actions in scope. Your enterprise agreement defines the legal responsibilities and any agreed liability allocation or transfer. [HS7][HS10]

Bókun’s terms limit processing to the intended application, require minimum necessary data and constrain provider reuse. Keep vendor data out of pooled intelligence, cross-customer targeting and unrelated advertising. The operator can use separately authorized first-party group terms if Bókun processing is unavailable.

Start with the operator’s booking channel.
Bókun documents booking search and booking-channel authentication. Its app developer reference describes retrieving booking data on behalf of an authorizing vendor. Confirm the customer account, plan, channel, fields, retention, provider terms and the purpose of this application before any read. The availability of booking or cancellation actions supplies no authority to use them.
If the required scope is missing, review only the outfitter’s own enquiry and agency agreement. Treat the marketplace booking as unverified. Bókun’s API terms also restrict providers from using vendor data for their own purposes and restrict keyword advertising using Bókun marks.
A direct group enquiry waits while the outfitter checks a reseller’s existing option and commission. [BK1] [BK2] [BK3] [BK6]
A useful fit when
For outfitters running multi-day departures with group options, travel-agent agreements and enough channel overlap to affect margin.
- Direct enquiries and reseller options can compete for the same group.
- The outfitter maintains a dated agreement and a named group sales owner.
- Finance can identify trips that ran and the commissions actually paid.
Consider the fit
- A single-channel operator with simple instant booking may handle the case entirely in Bókun.
- Do not infer partner-wide booking access from one operator’s channel or marketplace membership.
In your enquiry, name Bókun and the business decision. Please leave out client records, credentials and sensitive samples.
Eight questions before your briefing
1.What does the Bókun API actually support?
Its REST reference documents product-booking search. The vendor app framework describes reading data on behalf of the authorizing vendor. Limit the implementation to the approved channel and minimum commercial information. This guide does not establish a configured HiveSilo connector. [BK1] [BK2] [BK3]
2.Who uses Bókun for tours?
International Friends describes actual Bókun use for pricing, availability and marketplace distribution. International Friends and GTS Tours report combined traveler volume, not Bókun booking volume. Midgard Adventure names Bókun for agent sales of its Icelandic day and multi-day tours. [BK4] [BK5] [BK6]
4.What can be reviewed without Bókun access?
Use the outfitter’s own group enquiry, option agreement, approved sales correspondence and accounting disposition. Do not label an agency option released or a reservation canceled without confirmation from an entitled source.
5.Would the workflow release places or adjust a price?
6.What information stays protected?
Participant names, precise itineraries, waiver and medical data, and payment details stay in their approved operator systems. Minimize what the commercial team needs and honor account termination, deletion and permitted-use requirements. [BK3]
7.How should a tour operator measure the outcome?
Compare similar completed departures, channel commissions, refunds, incremental servicing cost and net contribution. Avoid counting an option, duplicate enquiry, deposit or reseller’s gross sale as an incremental completed booking.
8.What belongs in an initial meeting?
Describe an anonymized group-option conflict, the departure window, the person who can verify the agreement and how finance closes a completed booking. Leave out participant records and API credentials. [BK3]
