Intapp DealCloud + HiveSilo

View scope

Give an Intapp DealCloud introduction a mandate check.

An intermediary can bring the right opportunity to the wrong part of a family enterprise. HiveSilo can help the origination lead reconcile the approach with a current mandate, an existing engagement and the cost of duplicate diligence.

Start with a conversation. No client records needed.

Illustrative private professional office setting for the Intapp DealCloud integration workflow

One intermediary.
One decision owner.

Your client list stays yours.

The warmest introduction may carry an exclusivity conflict

A strong relationship does not resolve who may approach the intermediary or charge the family for diligence.

Can this team take the introduction under the current mandate?

A family’s investment team and its philanthropic arm may both know the same intermediary. Its private operating company may have already appointed a different adviser. A partner who sees only the active DealCloud pursuit can inadvertently commission duplicate work or reveal a confidential relationship.

Evolem implemented DealCloud for private equity and philanthropy. Its case describes deal and contact management across those teams. DealCloud already measures relationship activity, supports configurable pipelines and helps teams find warm introductions. The proposed review adds a current mandate and externally held terms that establish whether the next contact is appropriate.

DealCloud’s relationship analysis is the baseline for a review, and the mandate adds a separate question. [P600-S01] [P600-S02] [P600-S03]

Match the pursuit to its purpose

An entity name can appear in investment, philanthropic and operating-company activity. Use accountable owners and authorized internal references to disambiguate them before reviewing external terms. [P600-S01] [P600-S02] [P600-S03]

Useful output: A decision limited to the correct entity and mandate.

Surface parallel diligence

Check the office’s approved engagement and fee schedules against the current DealCloud pursuit. A shared intermediary is a reason to examine the relationship, not automatic permission to merge records. [P600-S01] [P600-S03]

Useful output: A potential duplicate-cost or exclusivity issue for counsel.

Keep a commercial result

Reconcile accepted introductions with qualified proposals, completed engagements and the fee or diligence expense actually incurred. Include introductions deferred during review. [P600-S01] [P600-S02]

Useful output: A comparison of realized contribution and avoidable fee exposure.

Two teams know the same intermediary

An adviser introduces the origination team to a privately held business. DealCloud contains a live intermediary relationship. Counsel’s separate mandate register shows another adviser already represents a family-owned entity during the current period.

Start with Intapp DealCloud

DealCloud tracks relationships, interactions, deal stages and team activity. Evolem’s implementation demonstrates the relevance of distinct private-equity and philanthropy workflows.

Bring the relevant context together

  • A permission-filtered pursuit reference and stage from the correct DealCloud entity.
  • A current exclusivity window and authority to approach the intermediary.
  • Previously approved adviser fees and the proposed cost of further diligence.

Make the decision

Return the request to the origination lead with two questions. Does the mandate cover this entity, and is this the sole team authorized to make contact?

A useful output

A decision note naming the owner, controlling dates and the external fact requiring confirmation.

Keep responsibility clear

Counsel interprets the engagement. The family-office principal or delegated deal lead decides whether the office proceeds.

Hold and ask

Pause if the candidate identity is uncertain, an information barrier separates the teams, or an adviser appointment has expired.

Record the outcome

Record avoided duplicate fees as a verified expense correction, and realized fee or deal contribution only when supported by closing records. [P600-S01] [P600-S02] [P600-S03]

Require control before AI acts.

One relationship can have several legitimate owners.

Apply the family office’s ethical walls and team permissions when fetching the selected DealCloud record. Assign counsel the authority question. Restrict subsequent disclosures and any update to the deal log to the people the principal appointed.

Read the governance and escalation requirements

Make accountable authorization a condition of putting AI to work. HiveSilo describes an operating layer that combines buyer intelligence, customer-data privacy and governance. Your deployment should establish the responsible owner and permitted scope before an agent can change records, contact buyers or trigger campaigns.

HiveSilo documents policy checks before execution, default denial when authorization is unclear, human checkpoints, scoped stop controls and decision receipts. These controls apply to actions routed through its policy boundary. Keep decisions, required approvals and held actions traceable as the workflow progresses, then record the action, outcome and accountable owner. [HS6][HS7]

Who
Identify the acting agent or person and name the business owner accountable for this workflow.
What
Define the action and permitted data categories before execution.
Where
Specify the approved system, destination and customer custody boundary.
How
Require an approved execution path, access scope and applicable policy checks.
When
Set the permitted conditions and approval validity; recheck authority before a held action resumes.
Why
Record the business purpose and the basis for allowing, denying or holding the action.

An edge case should stop the affected action.

For the deployment, require unresolved authority, an unapproved destination or an out-of-policy action to remain on hold. A timeout or unanswered approval request must not become permission to proceed.

Who gets the question?

Agree a named owner and authorized delegate for each workflow. A proposed responsibility model is: sales for buyer outreach and lead handling; marketing for campaign spend and audiences; security or privacy for data-access exceptions; the platform owner for connector or runtime changes. Test the escalation route. If no authorized reviewer is available, keep the action held.

Named-owner routing is configured and demonstrated for each deployment. Governance covers actions routed through its configured boundary; external systems remain responsible for actions outside that scope.

Make responsibility part of the AI rollout.

Use the AI implementation layer to put policy checks, approval checkpoints and decision records around the actions in scope. Your enterprise agreement defines the legal responsibilities and any agreed liability allocation or transfer. [HS7][HS10]

Use the office’s entry types and access rights

The developer reference documents authenticated DealCloud resources and paginated reads by entry type, including filters and selected fields. A deployment can have a distinct schema, permitted actors and scope. Start with one pursuit and a small field list that the designated user may actually read.

The broader API has other operations. A read for a mandate review does not authorize changing a pursuit, creating a contact or sharing a record across an ethical wall. When the office cannot grant a DealCloud read, a customer-owned appointment document can still establish a mandate, while the unconfirmed pursuit stays out of the recommendation.

Measure whether a completed introduction covered its diligence costs and whether a duplicate engagement was actually avoided. [P600-S01] [P600-S02] [P600-S03]

A useful fit when

For family offices with several investment or philanthropic teams, documented mandates and costs attached to each additional review.

  • Teams with current engagement letters and a clear approval owner.
  • Offices with restricted portfolios or information barriers between entities.
  • Origination leads able to follow accepted, declined and closed introductions.

Consider the fit

  • A simple relationship search can remain in DealCloud.
  • An unresolved conflict requires the office’s responsible counsel before outreach.

Eight questions before your briefing
  1. 1.What decision does this guide address?

Whether a family office should accept an intermediary introduction when another business or philanthropic team may already hold the engagement. The decision depends on the correct pursuit, current exclusivity and the principal’s authority. [P600-S01] [P600-S02]

  2. 2.What does DealCloud already provide?

Intapp documents relationship intelligence, activity capture, relationship scoring, deal and pipeline management and configurable workflows. HiveSilo’s additional role is to test an introduction against external mandate terms and its realized commercial cost. [P600-S02]

  3. 3.Which family office has used Intapp DealCloud?

Intapp describes Evolem’s completed implementation for private equity and philanthropy, with staff using DealCloud in their daily work. The case supports complex family-office use. The family’s assets, number of deals and operating revenue are different measures. [P600-S01]

  4. 4.What can the data API read?

The documentation shows paginated entry data by entry type, optional filters and field selection. Choose the tenant schema, role and permitted purpose before deciding whether a particular pursuit can be read. Sensitive contact fields need a separate reason. [P600-S03] [P600-S04]

  5. 5.May HiveSilo open or update a DealCloud pursuit?

A change requires an approved operation, a correctly scoped actor and a person accountable for the new state. This example can be evaluated read-only with the result kept in the office’s own review process. [P600-S03] [P600-S04]

  6. 6.Can an office review the introduction without access?

Counsel may be able to review the engagement letter, fee schedule and sender’s permission from the office’s own systems. Record the DealCloud pursuit as unverified until an authorized team confirms it. [P600-S02] [P600-S03]

  7. 7.How should a team test the financial result?

Compare similar introductions, including ones declined. Measure qualified progression and realized contribution after fees and review effort. A second team’s avoided charge counts only when the office can document what it would have paid. [P600-S01] [P600-S02]

  8. 8.Who may receive the relationship brief?

The family-office principal defines the audience. Counsel receives only the facts needed to interpret exclusivity. The investment team’s full relationship map, private target names and philanthropic contacts remain inside their separate access boundaries. [P600-S01] [P600-S02] [P600-S04]
